Q.1 Who will confirm the publisher’s conditions for including manuscripts in the repository?

A. The Information Service and Digital Library Section will check the information when it is posted on naistar.
It may take some time to research for publishers’ conditions, so we would appreciate you providing any Copyright Transfer Agreement, etc. you may have.

Q.2 Are the manuscript to be published in the journal and the repository the same?

A. They are not necessarily the same. Many journals publish manuscripts that have undergone layout adjustments and spelling correction since the author's final draft.
Many publishers have allowed the author's final draft to be included in repositories. When possible, the same manuscript as the journal will be used.

Q.3 Do you ever publish manuscripts in the repository before a journal?

A. Most journals require that manuscripts are not published in repositories for a certain period of time after publication in the journal. In addition,
Information and Digital Library Services Division confirms the journal publication before posting the manuscript in the repository, so the full text PDF will not be posted ahead of the journal.

Q.4 The author's final manuscript does not reflect the corrections made during proofreading, so there may be slight differences in the content (including mistakes in the content), do I need to make corrections before submitting it to the repository?

A. In principle, the author's final manuscript will be published as is.
Minor corrections, such as spelling corrections, are acceptable, but depending on the content of the corrections, the manuscript may not be considered the author's final draft.
You may choose to submit a list of corrections, etc., instead of making corrections to the submitted manuscript.

●Permission of co-authors

Q.1 What should I do if I do not know the whereabouts of some of my co-authors at the time of the release of the paper due to retirement, transfer, etc.?

A. Consider the co-author's consent to be not obtained.
Change the registration to naistar option to "否" on the data entry screen of the Research Achievements Management System.

Q.2 What should I do if I can't contact many of the authors, or if it is difficult to get their approval after the paper is written?

A. You can avoid the complications of confirmation by asking your co-authors for permission to publish in the repository in advance when you are writing your paper.
When you have obtained the consent of co-authors, please change the consent of all co-authors to "同意確認済" on the input screen of the Research Achievements Management System. Once this is done, please provide the PDF file of the paper. Please refer to the following links.

●Other questions

Q.1 Isn't there an open access initiative for Grants-in-Aid for Scientific Research(KAKENHI)?

A. Japan Society for the Promotion of Science (JSPS) established a policy for open access for JSPS project research and we encourage open access to articles from research funded by Grant-in-Aid for Scientific Research. (This is not mandatory.)

Q.2 Are other universities taking the same measures?

A. Many institutions in Japan (49 as of November 2021: from the Japan Consortium for Open Access Repository) have established open access policies.

Q.3 When I cite an article, should I list the publisher or the repository as the reference?

A. In SIST02, the basic information is the publisher's reference information, and then the URL (handle) of the repository and the date of access are written.
